This article is especially for the HR Department to know how to exit an employee on the EPF Employer Portal when he/she separates from the Company.

Employees who work with the company for short or long term. But any point of time, an employee separates from the company due to Resignation, Retirement, Superannuation, Disablement, Death etc., 

What is EPF?

EPF or Employee Provident Fund is a retirement benefit scheme in India. It is a mandatory contribution made by both employers and employees to a fund that is managed by the Employees’ Provident Fund Organization (EPFO).

The contribution to the EPF is made monthly and it is calculated as a percentage of the employee’s basic salary and dearness allowance. The current contribution rate is 12% of the basic salary and dearness allowance.

When an employee leaves their job, they can either withdraw the EPF amount or transfer it to a new employer.

As an Human Resources, it is important to exit an employee from EPF portal once he/she is separated.

Here, Just look at the steps below to find how easy it will be

Step 1:- Just Login the EPF Employer Portal_https://unifiedportal-emp.epfindia.gov.in/epfo/

Step 2:- Go to Member Module and select Member Profile in the EPF Employer Portal

Step 3:- Now you are able to see the Search Box (UAN) in the EPF Employer Portal

Step 4:- Enter the separated employee’s UAN in the search box and click Search, then you will be able to see the details in the EPF Employer Portal

Step 5:- Now Click the Mark Exit in the EPF Employer Portal

Step 6:- Now, Click the Exit reason box and choose the right reason for the separated employee. It’s very important to choose the right exit reason.

  • Retirement – Employee retires from Service permanently 
  • Death in Service –  Employee died during his/her service period
  • Superannuation – Employee leaves from his/her service at the age of 58 with all benefits
  • Permanent Disablement – Employee becomes disabled during service period
  • Cessation (Short Service) Any other reason – Employee resigns from the company
  • Cessation (Short Service) The employee ill health – Employee resigns from the company due to ill health
  • Cessation (Short Service) The contraction or discontinuance of employer’s business – Employee relieved from the company due to end of the contract period or the business closure

In this case, an employee leaves the organization in the short period (i.e) one or two years for some personal reasons. So Cessation (Short Service) – Any other reason is selected.

Step 7:- Now, Choose the Exit date in both EPF and EPS (i.e) the last working day of an employee in the company.

Step 8:- Click the Save button

Step 9:- After Saving, you will see the status “Members Exit updation request generated successfully for approval”.

Step 10:- Now the Exit request has been saved. Your next job is to go to Approvals on the Member module

Step 11:- Once click the Approval, you are able to see all pending requests. Click View to see the pending request in detail.

Step 12:- Check the details in the final time with care

Step 13:- If everything is correct, you can now click the Approve button for Employee Exit from EPF Employer Portal

Step 14:- Now the employee has been exited from the EPF portal successfully.

The EPF exit process is a simple and straightforward process. Make sure to inform your employer and fill out the necessary forms to withdraw or transfer your EPF amount. Remember to keep the points mentioned above in mind while going through the process.
